Creating Users

Fixiam allows administrators to create user accounts individually or in bulk. User accounts represent the identities that can authenticate, access applications, and interact with organizational resources.

Before creating users, ensure that your organization's Login Identifier settings have been configured appropriately.


Before You Begin

Fixiam uses Login Identifiers to determine how users authenticate.

Available login identifiers include:

  • Work Email
  • Phone Number
  • Employee ID
  • Username
  • User ID

Administrators can configure up to two login identifiers at the organization level.

Selected login identifiers become required fields during user creation and bulk import processes.

For example:

If Work Email is selected as a login identifier:

Required:
✓ Work Email

Optional:
• Employee ID
• Phone Number
• Username

If Work Email and Employee ID are selected:

Required:
✓ Work Email
✓ Employee ID

Create a Single User

Single user creation is recommended when onboarding individual employees, contractors, or administrators.


How to Create a User

Navigate to:

User Management → Users

Click:

Create New User

Step 1: Select Login Identifier

Choose the login identifier configured for your organization.

Example:

Work Email

The selected login identifier determines how the user will authenticate.


Step 2: Enter User Information

Provide the required user details.

Common fields include:

Step 3: Assign User Role

Select the appropriate platform role.

Examples:

Staff
Administrator
Manager

The assigned role determines the user's administrative privileges within Fixiam.


Step 4: Configure Optional Settings

Depending on organizational requirements, administrators may configure:

  • Expiry Date
  • Disability Override Type
  • Group Membership
  • Department Assignment

Step 5: Save User

Click Save.

The user account is created and added to the organization.


What Happens After User Creation?

Once a user is created:

User Created
      ↓
Account Generated
      ↓
Enrollment Invitation Sent
      ↓
User Completes Enrollment
      ↓
User Gains Access

If approval workflows are enabled, the request may first enter the approval process before the account becomes active.


User Enrollment Status

After creation, users appear in the Users Overview page.

Possible enrollment states include:

Example

A new employee joins the organization.

Administrator creates:

Name: Sarah Johnson
Email: [email protected]
Department: Finance
Role: Staff

After saving:

Account Created
      ↓
Enrollment Invitation Sent
      ↓
User Completes Enrollment
      ↓
Account Ready

Best Practices

  • Use corporate email addresses whenever possible.
  • Ensure login identifiers are unique.
  • Assign users to groups instead of managing permissions individually.
  • Validate employee information before saving.
  • Review user roles carefully before assigning administrative privileges.

Troubleshooting

Unable to Save User

Verify:

  • Required fields are completed.
  • Login identifier values are unique.
  • Email address format is valid.

User Cannot Log In

Verify:

  • User account is Active.
  • Enrollment has been completed.
  • Login identifier matches organizational settings.

User Did Not Receive Enrollment Invitation

Verify:

  • Email address is correct.
  • Email provisioning is configured.
  • Invitation was not blocked by spam filters.
