Managing User Accounts

The User Details page provides administrators with a comprehensive view of an individual user's profile, access information, authentication status, and administrative actions.

Administrators can use this page to review user information, manage account access, troubleshoot issues, and perform day-to-day user administration tasks.


Accessing a User Profile

Navigate to:

User Management → Users

Locate the desired user and select:

View Details

Understanding the User Profile

The User Profile contains information about the user's identity, employment details, access status, and authentication settings.

Typical information displayed includes:

Editing User Information

Administrators can update user profile information when organizational records change.

Examples include:

  • Name changes
  • Department transfers
  • Position changes
  • Cost center updates
  • Contact information updates

Updating a User Profile

  1. Open the user's profile.
  2. Select Edit User.
  3. Update the required information.
  4. Save the changes.

Managing User Status

User status determines whether the user can access Fixiam and connected applications.


Active Users

Active users can:

  • Sign in
  • Complete authentication
  • Access assigned applications
  • Receive system notifications

Example:

Status: Active

Deactivated Users

Deactivated users cannot:

  • Sign in
  • Access applications
  • Complete authentication

Example:

Status: Deactivated

Deactivation is commonly used when:

  • Employees leave the organization
  • Contractors complete assignments
  • Access must be temporarily suspended

Deactivating a User

  1. Open the user profile.
  2. Select Deactivate User.
  3. Confirm the action.

Reactivating a User

  1. Open the user profile.
  2. Select Activate User.
  3. Save the changes.

The user can resume normal access after reactivation.


Managing Group Membership

Groups simplify access management by allowing permissions and applications to be assigned collectively.

Administrators can add or remove users from groups directly from their profile.


Add User to a Group

  1. Open the user profile.
  2. Select Assign Group.
  3. Choose the desired group.
  4. Save changes.

Example

Finance Users
HR Managers
Remote Employees

Group membership may automatically grant access to applications, roles, or policies.


Managing Roles

Roles determine what actions a user can perform within Fixiam.

Examples include:

  • Staff
  • Manager
  • Administrator
  • Auditor

Administrators can review and update assigned roles as needed.


Updating a User Role

  1. Open the user profile.
  2. Select Edit Role.
  3. Choose the appropriate role.
  4. Save changes.

Password Management

Administrators may reset passwords when users are unable to access their accounts.


Reset Password

Use password reset when:

  • User forgets their password
  • Security concerns require credential replacement
  • Administrative recovery is needed

How to Reset a Password

  1. Open the user profile.
  2. Select Reset Password.
  3. Confirm the action.

The user will be required to complete the password recovery process according to organizational policy.


Managing User Enrollment

Enrollment status indicates whether a user has completed onboarding and authentication setup.


Pending Enrollment

The user account exists but enrollment has not been completed.

Example:

User Created
      ↓
Enrollment Pending

Enrolled

The user has successfully completed enrollment.

Example:

User Created
      ↓
Enrollment Completed
      ↓
Ready for Access

Resend Enrollment Invitation

Administrators can resend enrollment invitations when users do not receive the original invitation.

Common Reasons

  • Incorrect email delivery
  • Expired invitation
  • User overlooked the email

Managing Trusted Devices

Trusted devices associated with a user can be reviewed and managed from the user profile.

Administrators may revoke trusted devices when:

  • A device is lost
  • A device is replaced
  • Suspicious activity is detected
  • A device should no longer be trusted

Removing a Trusted Device

  1. Open the user profile.
  2. Navigate to Trusted Devices.
  3. Select the device.
  4. Remove trust.

The device will be treated as a new device during the next sign in attempt.


Common Administrative Tasks

Find a User

  1. Navigate to Users.
  2. Search using:
    • Name
    • Email
    • Employee ID
    • Username

Update Department Information

  1. Open the user profile.
  2. Edit Department.
  3. Save changes.

Suspend User Access

  1. Open the user profile.
  2. Deactivate the account.

Restore User Access

  1. Open the user profile.
  2. Reactivate the account.

Best Practices

  • Keep user information up to date.
  • Regularly review deactivated accounts.
  • Remove access when employees leave the organization.
  • Assign permissions through groups where possible.
  • Periodically review trusted devices.
  • Verify role assignments regularly.

Troubleshooting

User Cannot Sign In

Verify:

  • Account is Active.
  • Enrollment is completed.
  • Authentication requirements are satisfied.

User Cannot Access Applications

Verify:

  • Group assignments.
  • Role assignments.
  • Application assignments.

Enrollment Remains Pending

Verify:

  • Invitation was delivered.
  • User completed enrollment.
  • Authentication setup was successful.

User Missing From Group

Verify:

  • Group assignment was saved.
  • Synchronization processes completed successfully.
